Along with several bug fixes, this week we're releasing an enhanced Version 2 of Budget Distribution. To better reflect its purpose, the feature has been renamed Reallocate Balances and includes several significant improvements.
Reallocate BalancesWe've redesigned Budget Distribution to give novated lease providers and drivers full visibility into when, how, and why balances have moved between categories. Now named Reallocate Balances, you can find this feature in the Quick Actions Bar in the Asset Level.

Redesigned Reallocate Balances page with an updated UI, improved layout and clearer error messages.

Automatic balance calculation. Just enter the amount you wish to move and then preview the new balances for the source and destination categories before confirming.

GST auto-calculation toggle (10%) so you only need to enter the ex. GST amount.

Every time you reallocate funds, the system automatically generates transactions. Drivers can easily understand their balances by viewing these on the Novated Driver app or account report.

Easily document why a reallocation was made for future reference. You can enter a reason (visible to drivers) and an internal note (for your team only).

Audit logging. The date of the reallocation and which user performed it are automatically recorded on the transactions.

Confirmation modal to review all changes before submitting.

Another big week for changes on the Karia Platform this week
Vehicle Pricing your way just got a whole lot easier 🏷️We know that every dealership has its own rhythm. Some of you like to start with the bottom-line Drive Away price, while others prefer to build up from the Net Vehicle Price. Until now, switching between the two often meant reaching for a calculator or an external spreadsheet.
We’ve ditched the manual math. You can now toggle between pricing methods directly within the Sales & Origination tool, letting you quote exactly how you work.
What’s new in the Vehicle Pricing section:

Calculation Mode: Choose between "Drive Away Price" or "Net Vehicle Price" as your starting point. The tool will automatically handle the conversions for you.

Finance Products just got a whole lot smarter 💸We know that manual data entry is the enemy of a productive afternoon. That’s why we’ve updated Finance Products to handle the heavy lifting for you.
Instead of typing the same values over and over, you can now create presets for your most-used financiers. This update is all about speed and accuracy, allowing you to breeze through quotes without the repetitive manual entry.
What’s new in your Quoting Tool:

Presets for speed: Set up your preferred Finance Providers and create specific Finance Products under each. You can pre-fill commonly used values so they’re ready when you are.

New "Products Mode": The Finance Details section now features a toggle. Just select your financier and a preset product, and watch the fields auto-populate instantly.

This week is another big one at Karia, we've added more efficiencies to the platform and more oversight for you!
Never miss a beat with financier payment monitoring 💸You can now see a new item under the monitoring tab called Pending Financier Payments this new menu item gives you more visibility into all pending/missed payments that may need to be made to the financier so you can go in and make those payments or update those records.
We've been testing this one in beta for a while, and we're officially ready to open the doors! Organisation owners can now enable API access, making it easier than ever to get your systems talking to Karia.

Give your quotes a nameKeeping track of your quotes just got a whole lot easier. You can now give every quote a custom name, making it a breeze to organise your workflow and find exactly what you’re looking for in seconds.
Whether you want to label a quote by a specific project, a client nickname, or a priority level, the power is in your hands. You’ll find the new rename tool waiting for you right in the quote tables and within the quote form itself.
How it works:

Personalise it: Click the pencil icon next to the quote name field to type in a name that makes sense to you.

Let us handle it: Feeling a bit of writer's block? Simply click the 'use auto-generate name' button. We’ll instantly create a name for you based on the vehicle details.

Previously, you had to manually track which FBT Reports were generated and which were still pending. We've simplified that process entirely.
With the new Fleet-level FBT page, you can see exactly which reports are in progress, issued, or missing - all in one place. No more guesswork or juggling spreadsheets.
Flexible recurring datesWe noticed that if a recurring transaction was activated later than planned, the first deduction could be missed, and there was no easy way to fix it post-approval.
You can now edit the start date for recurring transactions even after they've been approved. This ensures your deductions stay on track, even if the timing shifts.
Workspace settingsIntroducing the new Workspace settings page, accessible in the novated workspace in the sidebar. The General workspace settings page covers Billing & Invoicing which hosts the Overdue Invoice form used to control automatic reminder behaviour for the workspace.
Overdue invoice settings (workspace)In Workspace Settings → Billing & Invoicing, teams can configure automatic overdue invoice reminders:

Master control: Turn automatic overdue reminders on or off for the workspace.

Reminder schedule: Configure a first reminder (required when reminders are on), plus optional second and final reminders. Each uses a number of days after the due date.

Saving: Changes go through a confirmation step before persisting.

Settings apply to payroll invoices and that one-off invoices are excluded for automatic send outs. only invoices created after settings are saved follow the new schedule, while existing invoices keep their original schedule. Invoices created while the feature is off do not get reminders scheduled.
Chasing payments shouldn't be a full-time job. We’ve added two new ways to manage overdue invoices directly from your workspace:
Set it and forget it (Automatic)
Go to your workspace settings (mentioned above) to enable automatic reminders. Once turned on, we’ll handle the follow-up for you by sending emails based on your schedule.
Take control when you need to (Manual)
To send a reminder manually, go to your Invoice Table, open the Actions menu on any overdue invoice, and select Send overdue email.

Features FBTThe FBT year has just ended and you can start generating your FBT Reports and get them out to your employers.
Karia's FBT Reports provide a clear, step-by-step breakdown of how every value was reached, so you can walk through the numbers with your employers with confidence.
VIN Confidence LevelOn the asset overview page, you are able to update asset details by VIN. However, in some cases we are not sure the data for a VIN is accurate. In such cases, you will be able to verify and edit the asset details manually.
Invoice Allocations on Invoice TransactionsCurrently, on invoice details page we can see which transactions were responsible for the payment of the invoice however, what was missing was to view which invoices are paid from the company transactions view
This feature fixes that. Now you can go to any transaction which is of type "Invoice Payment" and in the side sheet you can see all invoices where the funds belonging to the transaction were allocated. This is quite helpful in cases where a single transaction was allocated to multiple invoices.
Additional Supporting Documents on TransactionsCurrently, once a transaction has been sent for approval no further supporting documents can be added to it. However, we have now uplifted the flow so that at any point of time you can upload up to 3 supporting documents for a transaction
Updating transaction date for reimbursementsPrimary document can not be modified or updated post creation so do ensure that is the correct receipt that needs to be reimbursed or processed
While transaction data is generally immutable, we will be allowing some of the fields to be updated in case of incorrect scans or user errors. For this release, moving forward transaction date for reimbursements only can be updated
From the fleet transactions side sheet, click on 'View Transaction' and in the details you will see a pencil icon which can be used to trigger the update flow
This is an admin level feature so you need to have appropriate level of access before updating it
EV Home Charging RateFrom 1 April 2026, the EV Home Charging Rate has increased to 5.47 cents per km and all new quotes generated in the Sales & Origination tool using the Power ATO method will apply the updated rate.
Cross-Org Data Sharing
For those companies with complex organisation structures, we've added a new beta feature that will allow you to export some data between them, As of today while in beta it is just for when you are exporting/sending a Deal to the novated fleet workspace. If you are the organisation owner you can enable this and configure which way you may want to export.

Send to child organisations - Makes your data available for child organisations to import.
Receive from parent organisation - Allows this organisation to import data shared by its parent.

Update Payroll Group NameIn this week's release, we've also added the ability to update payroll group names so you can make it easier to distinguish between all of your payroll groups.
Banking ReportsYou can now download Kobble transactions directly from the portal in CSV format.
The export is currently kept fairly lean, but we would love to hear your feedback on the columns you usually work with and what else you’d like to see included in the report.
Please note that this export doesn’t include any Karia ledger-related information, as it is a direct data dump from our banking partner.

Fixed an edge case where changing an asset’s payroll cycle was blocked for drivers with multiple assets. You can now change the payroll cycle when the driver has only one active, paused, or reconciling asset and any other assets are closed. When you import a new asset for a driver who already has an asset, the new asset must use the same payroll frequency as the existing one.

DashboardsThis release we've focused on tidying up our existing one in novated, while also adding a "My Dashboard" for individual assignees in the sales side - this should help give you some insight on where things are and what to action next.
SalesYou can now see your current MTD compared to previous months, along with Last 30, 60 or 90 days.
This will give you breakdown of your commission (value and percentage), and Net Amount Financed along with what deals need a follow up and many more breakdowns! Check it out in the platform.
NovatedFrom novated side we have added Finance & Transaction related metrics. While most of them are quite straightforward, we would like to stress primarily on Lease Management Collected(see below).
Lease Management Collected - The figure you see for a month is actual money collected as part of paid invoices for that month and can be safely moved out of your Karia bank account. This has been a much awaited metric and has been requested by quite a few clients.
Employer InvoicesWe've surfaced a view to see all invoices for when you are in the employer context.
Fuel TransactionsThis release introduces a new Karia-format fuel transaction template, making it easier to prepare and upload fuel data into the platform. Simply use our standardised template, paste in your transaction data, and upload it directly into Karia. The template is designed to support a wide range of fuel card scenarios, particularly for providers working with multiple fuel card providers.

We are back with the first changelog of 2026, We've been hard at work at some big features in the background which you will see over the coming months. Let's get right back into it and see what's been worked on.
NPP Payouts for realtime paymentsWe have now introduced NPP payouts to enable real‑time settlement. This will allow you to move money out of your account within seconds allowing for a more flexible way of managing your funds.
It can be used for all payout types i.e. reimbursements, BDX payments, and standard one off payouts.
Privacy ModeThis capability is available on request and incurs an additional cost. Please contact us to discuss pricing and have it enabled.
You can now toggle hiding sensitive figures in the platform, you can now toggle between hiding and showing these values.
Deal FilteringWe've been listening to your feedback for the sales side, we are working on more features and improvements, keep your eyes peeled for more in the future. You can now filter easily in the platform on deals.
Invoice Details PageWe've added a dedicated invoice details page that shows you everything about an invoice - document, type, amount paid, pending status, and more. The real power is being able to trace each invoice back to the company transaction that created it.
This works for both automatically reconciled and manually adjusted invoices, so you can see exactly how a payment was allocated (like linking it to an unclassified transaction or reallocating an overpaid amount to a different invoice).
Imagin studio configuration through vehicle detailsYou can now view and configure the image for the driver's vehicle all from within the asset overview.
Simply go to the Vehicle tab and click reveal. If the selected image isn't quite right, you can edit it using the built-in editor to choose a more accurate model. Your changes sync to the Novated Driver App, giving drivers a more personalized experience.
Rego renewal date and vehicle rego cardYou can also now view and edit the vehicle registration details on the asset overview under the Vehicles tab to keep your data up to date.
Autograb vehicle details now populate automaticallyVehicle searches via Autograb now correctly populate body type, transmission type, and fuel type in your quote forms.
We've mapped Autograb data directly to Karia so you get complete, accurate vehicle details every time no manual corrections needed.

Over the past few months we've been hard at work in the background putting the pieces together so we can finally release the Novated Driver Product, this is a one stop shop for drivers to manage there novated leases on the Karia Platform.
Novated Driver
When building an app that drivers rely on, we needed to make smart choices about our technology foundation. That's why we went with Expo, React Native, and Nativewind - this powerful combo lets us deliver a consistent, high-quality experience whether you're using an iPhone or Android device. Expo gives us a robust development framework that makes updates smoother and more reliable, while React Native enables us to maintain a single codebase that feels truly native on both platforms (no more juggling separate iOS and Android versions!). We added Nativewind to the mix because it makes the UI development incredibly efficient. For drivers, this means a fast, reliable app that works the same way every time, no matter what phone you're using. Plus, this tech stack allows us to roll out new features and fixes much faster, so we can keep improving your experience based on your feedback.

Getting startedWe spent some time trying to come up with the best solution to address how do we get drivers/novated assets onto the platform? Do we invite a novated asset so then a single driver would have multiple logins? or do we invite a driver? With the main goal being to make the experience for the driver to be as seamless as possible. So the final solution that we put together and proceeded with is, a driver will have a single account that then can be linked to many providers.
Once you have the novated driver integration enabled, it's as simple as going to the drivers menu item and opening the side-sheet and clicking invite. This will send the driver a 8 digit code for them to use to link the account.
Once the driver has received their welcome email to novated driver it's a simple onboarding flow, in there welcome email they'll receive an 8 digit code and enter there surname to confirm and away they go and can start managing there lease from the novated driver app.
Once the driver has completed the onboarding they can submit reimbursements, track transaction, update bank details.
It's just that easy to submit a reimbursement.

You'll see a slightly updated UI for the transaction review page - this screen will be coming to other flows soon.
